1. Introduction

Lead Distro AI(“we,” “our,” or “us”) operates a lead distribution and pay-per-call SaaS platform. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform or visit our website at leaddistro.ai (the “Service”). Please read this policy carefully. If you disagree with its terms, please discontinue use of the Service.

2. Information We Collect

We collect information in the following ways:

  • Account Information: When you register, we collect your name, email address, company name, and payment information.
  • Lead Data: As part of our core service, we process lead records submitted through your campaigns. This includes consumer contact information (name, phone, email) and case details provided by your integrated lead sources.
  • Usage Data: We automatically collect information about how you interact with the platform, including pages visited, features used, IP addresses, browser type, and timestamps.
  • Third-Party Account Data: When you connect third-party services (such as Google Sheets, Meta/Facebook, or other integrations), we collect and store OAuth tokens and the minimum account information necessary to provide the integration. See Section 10 for details on Google API data.
  • Communications: If you contact us, we retain records of that correspondence.

3. How We Use Your Information

We use collected information to:

  • Provide, operate, and maintain the Service
  • Process and distribute leads on your behalf
  • Deliver leads to connected third-party destinations you configure (e.g., Google Sheets, webhooks)
  • Sync advertising spend data from connected ad platforms (e.g., Meta Ads)
  • Send transactional communications (invoices, alerts, API notifications)
  • Monitor and analyze usage patterns to improve the platform
  • Detect and prevent fraud, abuse, and security incidents
  • Comply with legal obligations

4. Sharing of Information

We do not sell lead data or customer account data. We do use marketing and analytics technologies on our public website, described in Section 7, which under some state privacy laws count as sharing personal information for advertising. Section 7 explains how to opt out of those. We may share information with:

  • Service Providers: Trusted third parties that help us operate the platform (e.g., Supabase for database hosting, Stripe for payments, Clerk for authentication, Twilio for telephony). These parties are contractually obligated to protect your data.
  • Buyers & Suppliers: Lead data is routed to the buyers and suppliers you configure within your campaigns. You control these connections.
  • Connected Integrations: When you connect third-party services (e.g., Google Sheets), data is sent to those services only as you configure. We do not share your data with third-party integrations without your explicit action.
  • Legal Requirements: We may disclose information if required by law, subpoena, or to protect the rights and safety of Lead Distro AI and its users.

4a. Lead Data and Consumer Rights

This section is for consumers. If you filled out a form, requested a quote, or were contacted by a company and you believe your information passed through Lead Distro AI, please read this first.

Lead Distro AI is software that businesses use to route their own lead records. We did not collect your information from you, and we do not have a direct relationship with you. Our customer, the business that collected your information, decides what data is collected, who it is sent to, and how long it is kept. In the language of privacy laws, that customer is the Business or Controller and Lead Distro AI is the Service Provider or Processor. We act only on that customer's documented instructions, as set out in our Data Processing Addendum. We do not sell lead data, and we do not use it for our own marketing.

You still have rights, and we will help you use them. If you want to know what information about you exists in the platform, correct it, or have it deleted, email us at support@leaddistro.ai with enough detail to locate the record, such as the phone number or email address you provided and roughly when you submitted it. Because the customer controls the record, we will identify the relevant customer and route your request to them, and we will confirm back to you that we have done so. We will acknowledge your request within 10 business days and complete our part within 45 days, or tell you if we need longer.

If you already know which company contacted you, sending your request to that company directly is usually the fastest route, since they hold the record and control it.

5. Data Retention

We retain your account data for as long as your account is active. Lead records are retained for a minimum of 12 months to support billing, audit, and dispute resolution. OAuth tokens for third-party integrations are retained until you disconnect the integration or delete your account. You may request deletion of your account and associated data by contacting us at support@leaddistro.ai. For full retention windows by data category, see our Data Retention Policy.

6. Security

We implement industry-standard security measures including encryption in transit (TLS), encryption at rest, row-level security on our database, role-based access controls, and encrypted storage of third-party OAuth tokens. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

7. Cookies and Tracking

We use cookies and similar technologies on our website and platform. When you first visit, a consent banner lets you choose which categories to allow. You can change your preferences at any time.

We use the following categories of cookies:

  • Essential: Required for authentication (Clerk), session management, and core platform functionality. These cannot be disabled.
  • Functional: Remember your preferences such as timezone settings and display options.
  • Analytics: Help us understand how you use the platform so we can improve it. We use PostHog for product analytics. PostHog data is not shared with third parties.
  • Marketing: Used for advertising measurement and attribution. Includes Google Tag Manager and affiliate tracking (Rewardful). These are only loaded with your consent.

When you visit or log in to our website, cookies and similar technologies may be used by our online data partners or vendors to associate these activities with other personal information they or others have about you, including by association with your email or home address. We (or service providers on our behalf) may then send communications and marketing to these email addresses. You may opt out of receiving this advertising by visiting https://app.retention.com/optout.

8. Your Rights

Depending on your jurisdiction, you may have rights to access, correct, delete, or port your personal data. To exercise these rights, contact us at support@leaddistro.ai. We will respond within 30 days. EU/UK customers and customers transferring personal data on behalf of EU/UK data subjects may also request our Data Processing Addendum.

This section covers account holders and website visitors. If you are a consumer whose information was submitted to the platform by one of our customers, see Section 4a instead. It explains our role and how to reach us.

9. Children's Privacy

The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that a child has provided us with personal information, we will delete it promptly.

10. Google API Services Usage Disclosure

Lead Distro AI's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

When you connect your Google account to Lead Distro AI, we request access to the following scopes:

  • Google Sheets (read & write): Used to deliver lead data to spreadsheets you designate. We only access spreadsheets you explicitly select within the platform.
  • Google Drive (read-only metadata): Used to list your spreadsheets so you can select a destination. We do not read, modify, or delete any files in your Google Drive.

We limit our use of Google user data to providing and improving the integration features you configure. Specifically:

  • We do not use Google user data for advertising or marketing purposes.
  • We do not sell Google user data to third parties.
  • We do not use Google user data to build user profiles unrelated to the Service.
  • We store Google OAuth tokens encrypted at rest and only use them to perform actions you initiate.
  • You can revoke Lead Distro AI's access to your Google account at any time from your Google Account permissions page or from the Integrations settings within Lead Distro AI.

11. Meta (Facebook) Integration Disclosure

When you connect your Meta (Facebook) account, we access your ad account data to sync advertising spend metrics and attribute costs to your campaigns. We also support Meta Conversions API (CAPI) to send server-side conversion events on your behalf. We only access the ad accounts and pages you explicitly authorize, and we store access tokens encrypted at rest.

11a. Call Recording and International Callers

Calls routed through tracking numbers on the platform may be recorded and transcribed when the customer operating the campaign enables those features. Where the law requires it, callers are played an announcement before the call connects stating that the call may be recorded. Call audio, transcripts, and related metadata are processed and stored in the United States by us and our sub-processors (including Twilio for telephony and Deepgram for transcription). For callers in the United Kingdom or European Union, these transfers are protected by the EU Standard Contractual Clauses and the UK International Data Transfer Addendum, as described in our Data Processing Addendum. Call recordings are retained for 12 months and transcripts for 24 months per our Data Retention Policy.

12. AI-Powered Features

Lead Distro AI uses artificial intelligence for lead scoring, call qualification, and advisory features. Lead data processed by AI models is used solely to provide the Service and is not used to train third-party AI models. AI-initiated phone calls always disclose that the caller is an AI system, in compliance with FTC and TCPA requirements.

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page and updating the “Last updated” date above. Continued use of the Service after changes constitutes acceptance of the revised policy.
